POSITION: HEAD OF RESERVATION

Summary:

Ensures the smooth and efficient operations in the department through prompt, effective and proper reservations service to achieve maximum room revenue in order to meet or exceed the revenue target. Manages and coordinates activities of reservation team members providing reservations and customer services skills.

Position Responsibilities:

  • Making sure the Reservation team are suitably trained (both on systems and wrt product) for the tasks expected of them
  • Making sure the ResRequest the system is matched to the company and res team members needs
  • That all Reservation work is distributed equitably especially managing the Off-Duty Comms
  • That the res team have the (non ResRequest) tools required to do the job, – internet, laptops, emergency phones
  • Resource for the team when they need guidance on the product, interpretation of rates or Ts and Cs
  • Manage Res team performance – both by annual review and weekly ResRequest reporting
  • Ensure all groups and allocations are kept up to date and space used optimally
  • Ensure provision held space is not held overly long and without approval
  • Issuing override permissions
  • First point of contact for agents when they have any problem with the Res team
  • Participate in the creation of weekly and monthly revenue and occupancy reporting schedule
  • Coordinate the weekly and monthly reporting on revenue and occupancy
  • Plan and monitor inbound and outgoing transportation (Planning the transportation Chart for both Driver Guides and DMC drivers).
  • To deal efficiently and politely with all telephone, email, internet, and ‘in-person ‘enquiries.
  • Setting up new Agents in the ResRequest System
  • To ensure that all reservations are recorded following established procedures with full and clear information and that they are inputted accurately and promptly onto the system.
  • To maximize revenue by converting enquiries, recognizing business prospects and opportunities to upsell our services.
  • To liaise with clients and agents to build rapport and creating professional relationships.
  • To exercise effective listening to capture relevant information and provide a premium experience for the guest
  • To liaise with all departments to ensure the best service is provided to our customers.
  • Performs miscellaneous job-related duties as assigned.

MINIMUM REQUIREMENT:

  • Having Knowledge/Experience in ResRequest System
  • Having knowledge of entire Reservation Procedure
  • Having Knowledge and experience with the Tourism industry
  • Upbeat and positive attitude throughout the entire day
  • Excellent communication skills, both verbal and written
  • Ability to work in a high-pressured environment
  • Highly organized people with the ability to prioritize and multitask
  • Natural ability to sell products enthusiastically
  • Ability to build rapport and create professional relationships
