Primary and Secondary Assistant

St. Constantine’s International School (SCIS) is a non-denominational, co-educational, day and boarding, international school. It is a member of Round Square and Cambridge international examinations, currently serving 600 students (including 70 boarders) from over 30 different countries. It is the largest international school in northern Tanzania and has gorgeous gardens and playing fields, sitting in beautiful tree-lined surroundings under Africa’s 5th highest mountain, Mount Meru, on the world-class northern game park circuit.

Role Reports to:           Head of Primary and Head of Secondary

The SCIS Primary and Secondary Assistant maintains a pleasant, cooperative public relations atmosphere for parents, visitors and staff at the administrative office.

Job Description:

The Primary and Secondary Assistant is expected to:

  • First and foremost, assist and support the Head of Primary and Head of Secondary.
  • Assist and support the management teams.
  • When possible, and reasonable, support Primary and Secondary Staff.
  • Promote and contribute to the school’s aims (mission, vision, values, policies).
  • Promote a positive school culture which is happy, purposeful and productive.
  • Maintain a pleasant, cooperative public relationship with the school community.
  • Assist and support staff whenever possible.
  • Undertake such other duties as may be reasonably required.

Responsibilities:

The Primary and Secondary Assistant will:

  • Support the Head of Primary and Head of Secondary.
  • Print and distribute planners, diaries, contact books etc.
  • Maintain proper communication between teachers, staff and parents.
  • Manage Microsoft Office (Word, Excel, PowerPoint, Publisher etc) and all Google for Education tools.
  • Maintain an efficient filing system for students.
  • Manage the reporting system for students on iSAMS, including printing of reports (if applicable) and sending reports home.
  • Assist in the Admissions Officer during the admissions process, including the sitting of admission exams.
  • Develop educational and publicity materials for school programmes as required.
  • Scan and make copies when requested.
  • Assist the administrative system of the school, including making calls to parents when necessary, developing communications, emails, etc.
  • Assist the teachers in organising school trips, both local and international (this includes the financial part, documentation and permissions, contact with travel agents) with the help of the School Secretary.
  • Keep records of warnings/consequences and rewards of students and communicate it to parents as appropriate.
  • Assist with processes when examinations take place, working with the Examinations Officer.
  • Keep proper records of student attendance (and distribute during emergency drills).
  • Monitor absences and late arrivals in line with school policy.
  • Update iSAMS daily with attendance.
  • Update notice boards and signage in the school building as required.
  • Be the link with the nurse and teachers regarding medical absences.
  • Administer, keep track and renew online subscriptions when required.
  • Be responsible for office supplies and stationery for Primary and Secondary staff.
  • Prepare supply packages for staff during the Summer vacations.
  • Distribute and keep record of books, notebooks and stationery at the beginning of each school year.
  • Access the calendars of the Head of Primary and Head of Secondary, and set meetings.
  • Help set up Parents’ Evenings.
  • Support and help in the logistics of assemblies.
  • Contact Maintenance with any maintenance issues.
  • Any other task requested by the Head of Secondary or Head of Primary.
  • Undertake such other duties as may be reasonably required.

Experience:                            


  • Minimum Qualification is Diploma in Business Administration, Business Management or Related fields
  • Minimum 2 years of secretarial and/or general administration experience essential.
  • Experience within an educational setting is preferred.
