SUMMARY OF RESPONSIBILITIES

• To maximize room occupancy and average rate through effective inventory management in accordance with both the Sales & Marketing Department business plan and the Company’s policies and procedures.

• To ensure the smooth and efficient operations in the department through prompt, effective and proper reservations service to achieve maximum room revenue in order to meet or exceed the revenue target.

• To ensure that PMS and other technology is used to its maximum potential for administration procedures and ·reservations database.

• To ensure good communication with key travel planners, decision makers as well as Planhotel Head Office and concerned departments in order to provide

efficient service to the clients.

PRINCIPAL DUTIES & RESPONSABILITIES

• To be fully conversant with the Sales budget relating to budgeted occupancy, Average Rate and business mix.

• To load rates and contracts and insert bookings in the PMS for all hotels located in Zanzibar.

• To prepare statistical data relating to reservations i.e. no shows, turndowns, source of business etc.

• To ensure all reservations are handled in accordance with the Company’s Accounting Standards.

• To handle “No Shows” in accordance with Company standards and procedures.

• To ensure credit procedures are according to the Company standard.

• To be fully conversant with the Sales business plan and objectives.

• To be fully conversant with all hotels and Company marketing programs.

• To meet with the Director of Sales & Marketing on a regular basis through conference calls to discuss rate strategies.

• To ensure “upselling” of rooms.

• To attend sales meeting when invited by Director of Sales & Marketing.

• Responsible for revenue management.

• To forward plan and highlight concern areas to the Sales Manager.

• To ensure that systems are in place to communicate strategies in order to maximize sales.

• To review Tripadvisor comments for both properties for further action.

• To directly supervise and coordinate the training of reservations personnel in handling reservations in according with Company policies and procedures, if

applicable.

• To ensure the accuracy of reservations and that they are taken in accordance with the hotel and Company-’s procedures.

• To manage the PMS inventory on a daily basis in order to maximize occupancy

• To answer, confirm and process all requests for reservations according to procedures established by CRS in the Head Office.

• To compile, confirm and process all requests for reservations from PMS following the established procedures.

• To maintain good customer relations.

• To ensure the necessary systems are in place in order to effectively deal with client requests.

• To handle client queries/complaints in accordance with the Company procedures.

• To ensure the accuracy of inputted information into the reservation system.

• To immediately inform the Director of Sales & Marketing of any concerns relating to tight booking situations.

• To authorize and coordinate VIP standards.

• To ensure that the standard telephone operating procedures are adhered to.To ensure effective networking and communication with outside bodies in order to inform them of room availability.

• To maintain a reservations chart indicating key dates and key bookings.

• To communicate all VIP and return clients to Sales and Front Office on a regular basis.

• To follow up on customer care topics and claims.

• To review Tripadvisor comments for both properties for further action.

• To directly supervise and coordinate the training of reservations personnel in handling reservations in according with Company policies and procedures, if

applicable.

• To ensure the accuracy of reservations and that they are taken in accordance with the hotel and Company-’s procedures.
